      1  OVERVIEW
 
M      Visual Mail is a full-screen mail utility for  the  OpenVMS  operating
 M      system.   Visual  Mail  allows  you  to  view and send electronic mail
 M      messages, maintain mail files and  folders  within  those  files,  and
 M      maintain  distribution  lists, alias names, and your personal profile.
 M      Visual Mail may be used as an interactive replacement for the  OpenVMS
 M      Mail  Utility.   Visual Mail's windowing system allows you to open and
 M      process multiple mail files,  folders,  and  messages  simultaneously.
 M      All  mail  functions,  such  as filing, extracting, printing (etc) are
 M      performed visually,  using  minimal  keystrokes,  rather  than  typing
       commands.
 
M      Visual Mail requires OpenVMS/VAX version 5.4 or above  and  a  Digital
 )      VT- series or compatible terminal.

      2  INVOKATION
 
M      After successful installation of Visual Mail on your system, you  need
 M      only  to  type  the command VMAIL at the DCL prompt.  Visual Mail will
 M      read your default mail file, if it exists, and  automatically  open  a
 M      mail  file  window  for  it.   If  a NEWMAIL folder exists, it will be
 M      opened into a folder window; otherwise, if a MAIL  folder  exists,  it
 M      will be opened into a folder window.  Mail file and folder windows are
 #      discussed in later sections.

 
M      Visual Mail will not attempt to execute a startup procedure if defined

M      by  the  logical name MAIL$INIT.  Visual Mail does not offer a startup
       procedure at this time.
 

      3  THE WINDOWING SYSTEM
 
M      The basis of Visual Mail is its windowing system.  A window is  opened
 M      for  nearly  every  function  you  perform,  and  you are free to move
 M      between these windows.  Most windows may be moved  about  the  screen,
aM      vertically  resized, and renamed.  Windows may be closed when they are
i      no longer in use.
 
M      Each window has a title at the top which identifies its function.  The
.M      title  of  a mail file window is the name of the file.  The title of a

M      folder window is the name of the folder preceeded by the window  title
 M      of  the  mail  file  from which it was opened.  The title of a message
.M      window is the subject of the message preceeded by the window title  of
 M      the  folder  from which it was opened.  A typical message window might
s       have the following title:
 

M      In this example, 'MAIL' is the name of the mail file, 'Work Stuff'  is
.M      the  name  of the folder, and 'Meeting on 5-JUN' is the subject of the
.      message.

"      3.1  Moving Between Windows
 
M      Moving between windows is useful  when  you  wish  to  perform  a  new
.M      function  without  abandoning  what  you  are  currently  doing.   For
.M      example, you may be reading a message and decide you want to modify  a
.M      distribution list.  There is no need to close the message window to do

M      this; you simply open the distribution list window, and you  may  then
 M      move  back  and  forth between the message window and the distribution
       list window.

M      A separate window is created for each mail file, folder,  and  message
.M      you  open.   This means you may have multiple mail files, folders, and
.&      messages open at the same time.
 
M      The current window corresponds to the window which is currently active
iM      in which you are working.  The title of the current window will always
 M      be highlighted in reverse video.  The next window corresponds  to  the
.M      window  which  was next opened after the current window.  The previous
nM      window corresponds to the window which  was  opened  just  before  the
.      current window.
 
          [TAB]
CM      The [TAB] key always moves to the  next  window.   The  title  of  the
rM      current window will become unhighlighted (normal video), and the title
.M      of the next window will become highlighted (reverse  video).   If  the
.M      new  current  window is hidden under other windows, it will be redrawn
.M      on the top.  Some windows may also allow you to use the  right  cursor
.M      key to move to the next window, and the left cursor key to move to the
.      previous window.

      3.2  The Bar Menu
 
M      The top line of the screen is reversed for the bar menu.  The bar menu
uM      allows  you  to  'pull down' menus containing actions and options.  To
.M      activate a pull-down menu, press the key corresponding  to  the  first
.M      letter  in  the  menu name.  For example, if you wish to pull down the
.                           [F]
M      File menu, press the [F] key.  A  menu  will  appear  below  the  menu
 
      title.

M      To perform an action on the menu, use the up and down cursor  keys  to

      3.3  Closing A Window

M      Closing a window may be performed by activating the window's File menu

      4  THE MAIL FILE WINDOW
 
M      The Mail File Window allows you to maintain a mail  file  and  perform
WM      actions  on  the folders it contains.  If you have a default mail file
AM      (MAIL.MAI), it will be opened automatically when you run Visual  Mail,
 M      if it contains any folders.  The window will contain a list of folders
.I      in the mail file, and the number of messages each folder contains.

L      Whenever you delete a message, it is not actually deleted, but  rather

M      To  perform  this  action,  open  the  File  menu  and  select  'Purge

M      Wastebasket'.   A  box  will  appear  in  the middle of the screen and
 M      'Purging...' will appear on the right side of the bar menu.  When  the

M      purging  is  complete,  the box will contain various statistics on the

M      result of the purge.  Press the [RETURN] key to  remove  the  box  and
E&      return to the mail file window.

M      The Purge Wastebasket function is  performed  automatically  when  you
lM      close  a  mail  file if you have the 'Auto Purge' option enabled.  See

%      4.3  Compressing The Mail File

M      After some period of time your  mail  files  will  become  fragmented,

M      containing 'holes' of unused space as the result of deleting messages.

M      The mail files may  become  large  and  slow  to  access.   When  this
 M      happens,  you  should  use the Compress Mail File option.  Compressing
 M      your mail files will remove the unused space, making the sizes of your
 0      files smaller and the access time faster.
 
M      To compress your mail file, open the File menu  and  select  'Compress
eM      Mail  File'.   The word 'Compressing...' will appear on the right side
 M      of the bar menu and some informational messages  may  appear  on  your
hM      screen.   Compression  may  take  a few minutes.  When it is complete,
 M      Visual Mail will reread the mail file window, closing any folders  and
d)      messages open from this mail file.

M      The compression process renames your original mail file  to  the  same
oM      name  with  a  '.OLD'  file  type,  in case the compression process is
 M      unsuccessful.  You may wish to delete this file to free up disk space.
  

"      4.4  Updating The Mail File
 
M      As you process messages within Visual Mail, the message counts next to
aM      the  folder  names  may become inaccurate.  If new folders are created
JM      (by filing messages), these folders do not appear  in  the  mail  file
tM      window.   If  existing  folders  are deleted (by removing all messages
 M      from them), the folder still appears in the mail file window.  You may
lM      wish  the  folder list to be updated to its latest state.  Rather than
aM      closing the window and reopening it, you may just select  the  'Update
aM      Mail File' option from the File menu.  This will close all folders and
dC      messages from this mail file and reread the list of folders.

%      4.5  Opening Another Mail File

M      You may open another mail file into a separate  window  at  any  time.
 M      This  will  allow  you  to  process  multiple mail files from within a
 M      single Visual Mail session.  Select the 'Open Mail File'  option  from
       the File menu.

M      A box will appear asking for the name of the mail file to open.  Enter

      5  THE FOLDER WINDOW

M      The Folder Window allows you to read and manipulate messages contained
AM      within  that  folder.   The  folder  window  shows  each  message on a
:M      separate line, containing the  date  the  message  was  received,  the
.M      number  of  lines  in  the message, the sender of the message, and the
 M      subject.  To the left of the date, an 'R' will appear if  the  message
 M      has  been  replied  to, an 'X' will appear if the file is stored in an
 M      external file, and an asterisk will appear if  the  message  has  been
LM      'marked'.   The  sender field will contain the sender's alias name, if
l      one exists.
 
M      The current message will be highlighted in reverse video.  This is the
 M      message  which  will  be  acted  upon  if  you  select  any actions to
 M      manipulate a message.  You may move the highlighted bar  with  the  up
 M      and  down  cursor  keys.  If the bar reaches the bottom of the window,
 M      the window will scroll if there are more messages to display.  You may
 &                     [Prev] and [Next]

      5.1  Opening A Message

M      A box will appear in the middle of the screen.  You must supply a mail
 M      file  name  and  folder  name  into  which the message will be placed.

       5.3  Extracting A Message
 
M      Extracting a message allows you to copy a message to a VMS file.  This
oM      allows you to save the contents of a message for use outside of Visual
p      Mail.
 
M      Select the 'Extract Message' option from the File menu.   A  box  will
sM      appear  in the middle of the screen requesting the name of the file to
sM      which you wish to extract the message.  Enter the name of the file and
c             [RETURN]

M      press  [RETURN].   If  you  do not specify a device and directory, the
s)      current default directory is used.

M      The message 'Extracting...' will appear on the right side of  the  bar

M      menu while the message is being extracted, and will disappear when the

      operation is complete.

      5.4  Printing A Message
 
M      Printing a message allows you to obtain a hard  copy  of  the  current
 M      message.   You may print the message to any print queue on your system
s       to which you have access.
 
M      Select the 'Print Message' option from the  File  menu.   The  message
gM      'Printing...'  will appear on the right side of the bar menu.  After a
nM      few moments, a list of print queues will appear.  If the print  queues
.M      have descriptions (set up by your system manager), they will appear to
 M      the right of the queue name in parenthesis.  Highlight  the  queue  to

M      which  you  wish to print the message and press [RETURN].  You may use

=M      automatically print using the queue and form  you  have  set  in  your
iG      profile.  See the 'Profile Window' section for more information.

      5.5  Deleting A Message
 
M      Deleting a message removes it from the current folder.  The message is
eM      not  actually  deleted  from the mail file, but instead is placed in a
eM      special folder known as the 'Wastebasket' folder.  The  name  of  this
 M      folder  may be changed, but defaults to WASTEBASKET.  Deleted messages
 M      may be retrieved from the Wastebasket folder by opening it  and  using
 D      the file function to move the message back to another folder.
 
M      Messages in the Wastebasket folder are actually deleted when  you  use
 M      the  Purge  Wastebasket  function in the mail file window, or when you

      6  THE MESSAGE WINDOW

M      The Message Window contains the contents  of  an  individual  message.
eM      The  top  line  of  the  message  contains  the 'From:' field, and the
uM      sender's personal name (if any).  The second line contains  the  'To:'
 M      field,  followed  by  the  'Cc:'  field.  The fourth line contains the
 M      'Subject:' field.  The subject of the message is also contained within

M      The message may be scrolled up and down with the up  and  down  cursor

      6.1  Filing A Message

M      Message organization may be accomplished  by  using  multiple  folders

aM      mail file or  folder  using  the  File  function.   Select  the  'File

M      A box will appear in the middle of the screen.  You must supply a mail
aM      file  name  and  folder  name  into  which the message will be placed.

       6.4  Deleting The Message
 
M      Deleting the message removes it from the current folder.  The  message
oM      is not actually deleted from the mail file, but instead is placed in a
oM      special folder known as the 'Wastebasket' folder.  The  name  of  this

M      folder  may be changed, but defaults to WASTEBASKET.  Deleted messages
 M      may be retrieved from the Wastebasket folder by opening it  and  using
 D      the file function to move the message back to another folder.
 
M      Messages in the Wastebasket folder are actually deleted when  you  use
 M      the  Purge  Wastebasket  function in the mail file window, or when you
FM      close a mail file if you have the Auto Purge  function  enabled.   See
eM      the  'Mail  File  Window'  section  for more details.  Messages in the
 F      Wastebasket folder cannot be deleted using the delete function.
 
M      After the message is deleted, the message window will  close  and  you
 -      will be returned to the folder window.

      6.5  Closing The Message

M      Close the message window when you are through viewing  it.   To  close

      7  THE PROFILE WINDOW

M      The Profile Window allows you to set options to  control  the  various
 M      functions  of  Visual Mail.  To open the profile window, pull down the
iB      Utils menu from any window and select the 'Profile' option.

 M      displayed.   Use the up and down cursor keys to highlight the item you

 M      people.  Distribution lists are maintained in the  distribution  lists
 M      window,  which  may  be  opened  by selecting the 'Distribution Lists'
=M      option from any Utils menu.  This section  describes  how  to  create,
DM      edit,  and  delete distribution lists.  See the 'Sending Mail' section

M      When you open the distribution lists window, it will contain the lists

      10.5  The Cc:  Box
  
M      The Cc:  box specifies the carbon copy recipients of the message.  The
 M      box  will only appear if you have enabled the CC Prompt option in your
 M      profile (see the 'Profile Window' section).  Enter each email address,
nM      separated  by  commas  and/or  on separate lines.  Use the up and down
AM      cursor keys to move from line to line within the Cc:   box.   The  box
eM      will  automatically  expand as you enter more names on separate lines.
               [Prev]
M      Use the [Prev] key to move from the Cc:  box back to the To:  box, and
s          [Next]
G      the [Next] key to move from the Cc:  box to the Copy Self field.

M      You may use distribution lists and alias names in the Cc:  box in  the
 #      same manner as the To:  box.

!      10.6  The Copy Self Option
  
M      The copy self option specifies whether or not a copy of the message is
aM      automatically  sent  to yourself.  If you are sending a messages, this
 M      field defaults to the Copy Send option in your profile.   If  you  are
lM      replying  to  a  message, it defaults to the Copy Reply option in your
 M      profile.  If you are forwarding a message, it  defaults  to  the  Copy
iM      Forward  option  in your profile.  This field allows you to change the
i/      copy self action on a per message basis.

M      Use the left and right cursor keys to toggle the Yes/No  status.   Use
i           [Prev]
hM      the  [Prev]  key  to return to the Cc:  box (or To:  box, if CC is not
i+                         [Next]    [RETURN]

       10.7  Editing The Message
 
M      After you enter the copy self field you will be placed in  the  editor
.M      to  compose  your message.  The editor Visual Mail uses is set in your
gM      profile and may be either EDT or TPU (the default is EDT).   When  you
aM      are  through  editing the message, exit the editor to send it.  If you
mM      exit the editor abnormally  (such  as  with  the  QUIT  command),  the
l      message will be aborted.
  
M      If you have set a  signature  file,  the  signature  is  automatically
 M      included  in the message buffer.  If you are replying to or forwarding
.M      a message, the original  message  is  automatically  included  in  the
 M      buffer,  preceeded  by  the reply prefix or forward prefix set in your
]      profile.
  
 
 
       10.8  Sending The Message
 
M      After the editor is exited from, the message will be sent.  A box will
eM      appear in the center of the screen to tell you if the message was sent
 M      successfully or not.  If there is an error, you will  be  prompted  if
eM      you  wish  to  send the message anyway.  If you reply 'Y', Visual Mail
 M      will continue to send the message.  If you  reply  'N',  you  will  be
o#      returned to the send screen.

      11  WINDOW MANIPULATION
 
M      Most of Visual Mail's windows  may  be  manipulated  to  adjust  their
iM      verical size, location on the screen, and title.  This is accomplished
 M      by using the Window pull-down menu.  Note that some windows,  such  as
i/      the Profile window, may not be adjusted.

      11.1  Renaming A Window
 
M      Renaming a window changes the  window's  title.   Choose  the  'Rename
oM      Window' option from the Window menu.  You will be prompted for the new
lM      title.  The length of the title  may  not  exceed  the  width  of  the
       window.
 
 
 
      11.2  Moving A Window
 
M      Moving a window changes the location of  the  window  on  the  screen.
nM      Choose  the  'Move  Window' option from the Window menu.  The window's
TM      border will be highlighted, and you may move the window around on  the
aM      screen  using  the  cursor  keys.   When  the window is in the desired

      11.3  Resizing A Window
 
M      Resizing a window changes the vertical length of the  window.   Choose

sM      will be highlighted, and you may change the window's length  by  using
nM      the  up  and  down  cursor  keys.   When  the window is at the desired

mD      changed with the VMS Mail Utility command SET MAIL_DIRECTORY.

      Mail File
 C      Mail File:  A VMS file containing zero or more mail folders.

      Next Window
 M      Next Window:  The window which was opened after  the  current  window.
oI      If there are no more windows, the first window is the next window.

      Personal Name
dM      Personal Name:  A character string which will appear in  quotes  after

M      The following compatibility issues between the VMS  Mail  Utility  and

M         o The VMS Mail command  SET  MAILDIRECTORY  has  no  equivalent  in
 M           Visual  Mail.   You  must use the VMS Mail Utility to change your
            mail directory.
o 
M         o The logical name MAIL$EDIT, used to define a custom edit  routine
oM           for  VMS Mail, has no effect on Visual Mail.  You must use either
CG           the EDT or the TPU editor, as defined in your mail profile.
  
M         o The logical name MAIL$INIT, used to define  a  startup  procedure
 M           for VMS mail, has no effect on Visual Mail.  Visual Mail does not
y2           currently support a startup procedure.
 
M         o The following Visual Mail profile items have no effect on the VMS
 M           Mail  Utility:   Use  Default Queue, Reply Prefix, Foward Prefix,
eM           and Signature File.  All other profile items changed from  within

M         o Any aliases defined in Visual Mail will not  work  with  the  VMS
